How do I formally confirm sample acceptance?

Formal acceptance requires a clear, documented action. The best methods are signing a physical Pre-Production (PP) sample2 or completing a detailed Sample Approval Form3 that confirms every single product specification.

Think of the approved PP sample as a legally binding contract in garment form. Your signature doesn't just mean "the fit is good."

It means, "This exact garment is the standard against which I will judge the entire bulk order." Your approval is a blanket confirmation of every single component. This is why a simple comment can be dangerous.

If you only say "fit approved," a factory might assume everything else is also approved. If you have specific feedback, you must be explicit. For example: "The fit is approved. However, the wash is 10% too dark. Please revise the wash and submit a new sample."

How long is my sign-off valid before needing reapproval?

You approved a sample six months ago and now you're placing a reorder. But the factory says the fabric dye lot5 has changed and your old approval is no longer valid, causing an unexpected delay.

A sample sign-off is valid only for the immediate production run. For reorders placed more than 90 days later, we will require a new approval to account for inevitable variations in raw material batches.

This is a critical detail that often gets overlooked. A sign-off is not a lifetime pass for a style. It's a snapshot in time. Denim fabric is produced in large batches called "dye lots."

Even from the same mill, the next dye lot produced months later can have a slight, but noticeable, variation in color. The same goes for other raw materials. For this reason, a sign-off is only considered valid for the order it was created for.

If you place a direct reorder within about 90 days, we can typically proceed using the original approval, as we often secure enough material from the same lot. For any reorder beyond that timeframe, our standard procedure is to create a new "Top of Production" (TOP) sample from the new batch of fabric.

We send this to you for a fresh sign-off. This extra step is our shared insurance policy. It guarantees the consistency your brand's reputation depends on and prevents any surprises.
